The Great Comparison of Automation Tools for Productivity Suites [Microsoft vs Google]

Many times, our work is often wasted on tasks that are important but do not add any value, such as dealing with/filling out documents. We are now in the era of technological advancement, automation, and AI. Computers can now handle many repetitive document processing and data transfer tasks. If you are a normal worker or a business owner, then this article is perfect for you.

You may have already used Microsoft Word/Excel and Google Workspace/Docs/Sheets to create and edit various documents and spreadsheets, but did you know that they can also help you automate many tasks? For example, you can automate sending emails, generating reports, analyzing data, creating charts, and more. This can save you time and energy, allowing you to focus on more creative and valuable work.

To achieve this automation, you need to use some special tools that allow you to write some simple code or set some conditions to control the behavior of your documents and spreadsheets. These tools are Microsoft Power Automate and Google App Script. They are automation platforms provided by Microsoft and Google, allowing you to integrate and automate various services.

What’s the difference?

What makes them different? Microsoft Power Automate and Google App Script both allow you to create and run automation code, but they have some differences in functionality.

Here are some key distinctions:

  • Microsoft Power Automate is considered low-code, meaning you can achieve automation without programming. You can use the platform’s drag-and-drop feature to set up the automation you want. Due to its low-code nature, the options for automation are limited, but Power Automate provides enough automation features to meet 70% of user requirements. If you additionally purchase the Copilot AI feature, Copilot can directly set up your automation process based on your descriptions.
  • Google App Script is based on JavaScript as a programming language to achieve automation effects. This means non-programming users can only rely on pre-made Add-ons to accomplish automation. App Script can link various Google services, such as Docs/Words/Sheets/Slides/Calendar/YouTube/Admin/Chat/Maps, allowing you to establish interactions and automation processes between these services. App Script can also interact with external APIs and services, enabling you to import or export your automation processes directly to third-party applications like Salesforce/Hubspot/Coingekco/Telegram/Twitter, etc.

Pricing:

What about their pricing? The prices of Microsoft Power Automate and Google App Script also differ. Here is some key pricing information:

  • Microsoft Power Automate has a free version and a paid version. The free version allows up to 750 runs per month, with a maximum of 15 minutes per run, and each user can create up to 5 flows. The paid version has two options: Power Automate Premium and Power Automate Process. Power Automate Premium costs $15 per user per month, allowing unlimited runs with a maximum of 30 minutes per run, and each user can create an unlimited number of flows. Power Automate Process costs $150 per robot per month, allowing unlimited runs of RPA processes with no time limits, and each user can create an unlimited number of flows. There are also additional features, such as the Hosted RPA add-on ($215 per robot per month) and Process Mining add-on ($5000 per tenant per month).
  • Google App Script is free but has some usage limits, such as daily execution time, trigger quantity, email sending volume, external request count, etc. If you need more resources, you can upgrade to the paid version of Google Workspace, such as Business Standard ($12 per user per month) or Enterprise Standard ($20 per user per month). This will increase some quotas and limits, such as daily execution time from 90 minutes to 6 hours, trigger quantity from 20 to 100, email sending volume from 100 to 1500, etc.

Practical Use Cases:

What are some practical use cases?

  • Both Microsoft Power Automate and Google App Script can help you achieve practical use cases, making your work more efficient and intelligent.
  • Both platforms can handle simple automation tasks, such as automatically sending emails to someone when certain data is inputted into Excel/Sheets or generating files based on the entered data.

Here are some unique examples for each platform:

  • Using Microsoft Power Automate, you can create a flow that automatically saves the content of a new email to OneNote when you receive it, marks it as read, and sends a reply. This allows you to better manage your emails and not miss any important information.
  • Using Google App Script, you can create a script that automatically converts an address entered in Google Sheets into latitude and longitude and displays its location on Google Maps. This makes it easier for you to handle and analyze geographical data, enhancing your visualizations.

Conclusion:

In conclusion, Microsoft Word/Excel and Google Workspace/Docs/Sheets can all achieve automation to make your work more efficient and intelligent. Depending on your needs and preferences, you can choose to use Microsoft Power Automate or Google App Script to achieve your automation goals. Whichever you choose, you can save time and energy, allowing you to focus on more creative and valuable work.
